Privacy Policy

Effective date: [EFFECTIVE DATE] · Last updated: [DATE]

1. Who we are

This website is operated by [LEGAL ENTITY NAME] ("Arc Insight Services," "we," "us," or "our"), a company providing enterprise IT products and consulting services, registered at [REGISTERED ADDRESS].

If you have any questions about this policy or how we handle your personal data, contact us at admin@arcinsightservices.com. [Optional: set up a dedicated privacy@arcinsightservices.com alias for data requests.]

[If you appoint one: Our Data Protection Officer / EU representative can be reached at [DPO / REPRESENTATIVE CONTACT].]

2. Scope

This policy explains what personal data we collect through this website, why we collect it, how we use and protect it, and the rights you have. It applies to visitors to our website across the regions we serve (the Americas, Europe, the Middle East, and India).

3. The data we collect

Information you give us. When you submit our contact form, we collect the information you provide: your name, work email address, your selected area of interest, and any details you include in your message.

Information collected automatically. When you visit the site, our hosting provider may process limited technical data such as your IP address, browser type, device information, and pages viewed, for security and to keep the site running. [Update this section to reflect your actual host and any analytics tooling you add.]

Cookies and similar technologies. [State your actual usage. The site stores a theme preference in your browser's local storage; if you do not use analytics, advertising, or tracking cookies, say so here. If you later add analytics, disclose it and add a cookie banner where required.]

Demo access and trials. When you request access to a product demo, we collect your name, work email address, and the purpose you give us for evaluating the product, so we can provision and support your demo workspace. During a demo trial we log your activity in that workspace — for example sign-ins, which product areas you open, the features you use, and session times — and members of the Arc Insight team review those logs to support you, follow up on your evaluation, and improve the product. We tell you this at the point of request and ask you to agree to it before we provision access. We keep demo activity logs for [90 days] and then delete or anonymise them; the request details themselves are retained as described in Section 7. [Confirm the retention period with your lawyer, and update this clause when demo provisioning moves from manual fulfilment to the hosted demo portal — the categories of data and any new processors may change.]

We do not intentionally collect special-category (sensitive) personal data through this website, and we do not knowingly collect data from children (see Section 10).

4. How we use your data and our lawful bases

We use the personal data you submit to:

  • Respond to your enquiry and provide the information or consultation you request — on the basis of taking steps at your request prior to entering a contract, and our legitimate interest in responding to prospective clients.
  • Communicate with you about your enquiry and, where relevant, our products and services — on the basis of our legitimate interests or your consent where required.
  • Maintain the security and integrity of our website — on the basis of our legitimate interests and legal obligations.

Where we rely on consent, you may withdraw it at any time. Where we rely on legitimate interests, you have the right to object (see Section 8).

5. How we share your data

We do not sell your personal data. We may share it with:

  • Service providers who process data on our behalf (for example, our website host and the email/form-delivery service that routes contact-form submissions to us), under contracts that require them to protect your data.
  • Professional advisers, authorities, or acquirers where required by law, to protect our rights, or in connection with a business transfer.

[List your actual processors here — e.g. hosting provider, email/form service — so this section reflects reality.]

6. International data transfers

Because we operate across the Americas, Europe, the Middle East, and India, your data may be transferred to and processed in countries other than your own. Where we transfer personal data out of the European Economic Area, the UK, or other regions with transfer restrictions, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or an adequacy decision. [Confirm the actual mechanisms with your lawyer once your processors are chosen.]

7. How long we keep your data

We keep contact-form submissions only as long as necessary to respond to your enquiry and for a reasonable period afterward to manage our relationship and meet legal, accounting, or reporting requirements, after which we delete or anonymise them. [Insert your actual retention period, e.g. 24 months.]

8. Your rights

Depending on your location, you may have the right to: access the personal data we hold about you; correct inaccurate data; request erasure; restrict or object to processing; data portability; and, where we rely on consent, to withdraw it. Individuals in the EEA/UK have these rights under the GDPR/UK GDPR; individuals in other regions may have comparable rights under local law.

To exercise any right, contact us at admin@arcinsightservices.com. We will respond within the timeframe required by applicable law. You also have the right to lodge a complaint with your local data protection authority.

9. How we protect your data

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or misuse. Our site is served over HTTPS. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

10. Children

This website and our services are intended for businesses and are not directed to children. We do not knowingly collect personal data from anyone under [16]. If you believe a child has provided us data, contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. We will post the updated version here and revise the "Last updated" date. Material changes will be highlighted where appropriate.
